We're looking for a proactive and highly organized Administration Services Coordinator (Systems & Data) to become the operational backbone of the business, ensuring systems, data, and administrative processes remain accurate, efficient, and well managed.
What You’ll Be Doing:
As the Administration Services Coordinator (Systems & Data), you'll take ownership of maintaining business systems, supporting data governance, coordinating onboarding processes, and ensuring the firm's operational records remain accurate and reliable.
Your main responsibilities:
- Business Systems Administration: Administer and maintain the firm's key business platforms, including HubSpot, FYI, Xero and Xero Practice Manager. Support user setup, system access, permissions, and ongoing administration requests while ensuring systems operate efficiently.
- Data Management & Governance: Maintaining accurate, Reliable & well governed data across the relevant teams / platforms etc.
- Client & Staff Onboarding: Coordinate onboarding and offboarding activities for clients and employees, including system setup, user access, record maintenance and administrative support to ensure a seamless experience.
- Documentation & Process Management: Maintain Standard Operating Procedures (SOPs), user guides, operational documentation and system processes. Ensure documentation remains current and supports consistent ways of working across the business.
- Operational & Administrative Support: Provide day-to-day administration for the firm's systems and databases while supporting internal stakeholders with system enquiries, updates and operational requests.
- Key Performance Indicators (KPI) : Identify opportunities to improve business systems, administrative processes and data quality. Support the implementation of new procedures and promote consistent system usage across the firm.
What your profile will look like:
- Must have - Minimum 3+ years' experience: Demonstrable experience in Systems Administration, Administration Coordination, Practice Management, Operations Support, Executive Assistance, or a similar administrative role.
- Must have - Strong communication skills: Fluent written & oral English skills.
- Must have - Proactive mindset: Ability to work independently, take ownership of responsibilities, identify priorities, and solve problems with minimal supervision
- Must have - Systems administration experience: Experience maintaining databases, business systems, CRM platforms or operational records with a high level of accuracy.
- Must have - Strong organizational skills: Excellent attention to detail with the ability to manage multiple priorities and meet deadlines.
- Must have - Microsoft 365 proficiency: Confident using Microsoft Office applications and cloud-based business systems.
- Must have - Confidentiality: Ability to manage sensitive business and client information with professionalism and discretion.
- Must have – Strong Internet Connection: Must have a strong uninterrupted internet connection.
- Preferable - Australian business experience: Previous experience supporting Australian businesses, professional services firms, or accounting practices.
